What does Redtail do that a general CRM doesn't, and what does it cost per advisor?
Summary
Redtail is built on the assumption that client communications are records a regulator may ask to see. Compliant note entry and archiving come with every plan, and archived texting (Speak) and document management with audit trails (Imaging) come with Growth. Launch costs $39 per user per month billed yearly but stops at five users, so hiring a sixth person moves the firm to Growth at $59 and takes the annual bill from $2,340 to $4,248.
Records come first
Redtail belongs to Orion. Its terms of use name Redtail Technology as one of Orion Advisor Solutions' affiliated technology providers. The product connects to 100+ tools, and the ones named on its site are Orion, Schwab, and eMoney. Most of what separates it from a general CRM is about keeping records:
- Compliant Note Entry & Archiving is checked for both Launch and Growth.
- Speak handles texting and chat with automated, searchable archiving. It's subject to broker-dealer approval.
- Imaging adds paperless document management, audit trails, and 200 GB of storage. On Launch, the CRM product addendum allows 5 GB of document storage per user.
- Redtail Email, a separate product, captures and archives client email automatically.
Redtail also sells to broker-dealers as a way to supervise communication and automate review processes under SEC and FINRA guidelines.
Who owns what you type in
The terms say user content is the user's property, except where it falls under broker-dealer or investment adviser books-and-records rules. They cite SEC Rules 17a-3 and 17a-4, FINRA Rule 4510, and SEC Rule 204-2. They also say an advisor's access to their own content may be restricted once they leave the firm.
Launch or Growth
Launch is $39 per user per month billed yearly, or $45 billed monthly, with a maximum of five users. Growth is $59 billed yearly, or $65 billed monthly, with no user limit. According to the comparison table, Growth adds:
- Contact, note, and opportunity permissions
- Automated workflows and automation triggers
- Suite Sync for email, calendar, and contact syncing (the addendum says it runs on Nylas)
- Bulk email, plus Imaging and Speak
The addendum also bundles Orion tools. Launch comes with the Orion client portal, stress-test risk scoring, proposal generation, and new account opening. Growth adds Orion Planning, the 3D Risk Profile, and Orion's behavioral finance tools.

A five-person team that moves up by choice pays $1,200 more a year on annual billing. A sixth hire forces the move, and the bill jumps by $1,908. Larger firms get Enterprise, which is custom priced and requires a minimum license commitment, though the page doesn't say how many licenses.
Trial and cancellation terms
The 30-day trial covers the full Growth plan, is for new users only, and needs no credit card. If you don't convert, the data you entered during the trial is deleted. Paid plans are charged in advance, monthly or annually, and fees aren't refundable unless the terms say otherwise. You can terminate with 30 days' written notice, but you still owe the balance on the account. Price changes arrive by email at least 30 days before the next billing cycle, and staying past that date counts as accepting them. The terms allow Orion to charge setup and other one-time fees, while the pricing table lists database conversions from another system as complimentary on both plans.
