CRM onboarding and implementation fees: HubSpot Professional's $1,500 turns $90 a seat into $103.89 at 3 seats and $94.17 at 10
Last updated 2026-10-03. The pages of the vendors below were read that day, except Pipedrive's, which returned 403; for Pipedrive, Salesforce, Zoho, monday, Freshsales and Bigin the "no fee found" status also leans on the site dataset of 2026-08-25.
Who charges a published fee
- HubSpot Sales Hub, "required, one-time": Professional $1,500 (UK £1,310), Enterprise $3,500 (UK £3,050). Starter has none.
- Keap, an implementation package the FAQ calls required: $1,500 list, $500 as displayed; plus a $299 early-termination fee on its one-year term.
- Workbooks (UK), listed on the quote flow: SelfStart £2,100, JumpStart for Sales £3,675, with a 12-month minimum subscription. The page does not say whether it is mandatory.
- Insightly, the All-in-One bundle only: $3,000 technical setup and $1,500 guided onboarding, both "required". The standalone CRM plans list no fee.
Who says none, or says nothing
- Says none in words: Nutshell ("no setup fees, implementation costs, or surprise charges"), Capsule ("zero fees for its onboarding"), Salesflare (onboarding "entirely free of charge"), Streak ("No required fees").
- Page silent in what we read: Close, Copper, folk, Less Annoying CRM, Pipedrive, Salesforce, Zoho CRM, monday CRM, Freshsales, Bigin. Silent is not the same as none; it means no fee appeared.
What does a required fee do to the price per seat?
The site's method: three-year cost = plan per month x 36 + mandatory onboarding fee; effective per seat = three-year cost / (36 x seats). At 3 seats HubSpot Professional costs 90 x 3 x 36 = $9,720, plus $1,500 = $11,220; $11,220 / 108 = $103.89 per seat per month. The same fee is only $1.67 per seat per month at 25 seats.
HubSpot Sales Hub Professional, $90 billed annually plus $1,500 once (monthly total with the fee spread over 36 months, effective per seat in parentheses)
| Seats | Monthly total | Three-year cost |
|---|---|---|
| 1 | $131.67 ($131.67) | $4,740 |
| 3 | $311.67 ($103.89) | $11,220 |
| 5 | $491.67 ($98.33) | $17,700 |
| 10 | $941.67 ($94.17) | $33,900 |
| 25 | $2,291.67 ($91.67) | $82,500 |
Table note: annual-billing price per seat per month; add-ons, contact capacity and tax are not included, so every figure is a floor. Enterprise ($150 plus $3,500) at 10 seats is $57,500 over 36 months, $159.72 per seat. In the UK, Professional (£77 plus £1,310) at 3 seats is £9,626, or £89.13 per seat.

Which seat prices leave fees out entirely is the subject of article-03; how annual billing and minimum seats interact with onboarding is in article-01.
How does Keap's package change a flat plan?
Keap is a single plan at $299 a month with 2 users and 1,500 contacts included, plus $39 a month for each extra user. The page shows $299 on both billing toggles, so the table uses $299 x 36 and applies the site formula to the flat price. Its "$2,988 /year" text equals $249 a month, not $299 x 12 = $3,588; the two could not be reconciled and the table does not use it.
Keap over 36 months with the package fee at its displayed and list prices
| Users | Monthly (flat + extra users) | Three-year cost with $500 (per user) | Three-year cost with $1,500 (per user) |
|---|---|---|---|
| 2 | $299 | $11,264 ($156.44) | $12,264 ($170.33) |
| 5 | $416 | $15,476 ($85.98) | $16,476 ($91.53) |
Arithmetic: 5 users = 299 + 3 x 39 = $416; 416 x 36 = $14,976; plus $500 = $15,476; $15,476 / (36 x 5) = $85.98. The $299 early-termination fee applies only if you cancel before the one-year term ends, so it is not in the table. Contact tiers above 1,500 are not in these numbers either; see article-38.
Is the Workbooks or Insightly fee mandatory?
Workbooks lists SelfStart at £2,100 and JumpStart for Sales at £3,675, adds one to its quote flow, and states a 12-month minimum subscription. We could not tell from the page whether either is compulsory, so no three-year cost is computed from them. Insightly's $3,000 and $1,500 are labeled "required" but sit under the All-in-One bundle ($349, $899 or $2,599 a month); the CRM plans at $29, $49 and $99 per user per month, billed annually, carry no fee on the page. A separate "Premier support and success" line, "20% of license ($3,000 minimum annually)", is also labeled required on the bundle.
